Grants Management and Reporting Officer

Job Summary

As Grants Management and Reporting Officer for CDP’s Asia Pacific region, you will develop and implement systems and processes that enable us to effectively manage our increasing portfolio of grants across the region. Working closely with CDP colleagues from a range of teams, your experience of grant management and compliance will shine as you assist in understanding, communicating and meeting funder requirements.

In addition, you will support scoping of fundraising opportunities in Asia Pacific across government, trust and foundation, corporate funding streams, working closely with members of the Global Development team to develop a regional fundraising plan.

This new role will help build capacities across CDP’s global offices that is critical to CDP’s continued growth and success. To succeed in this role, you must be detailed-orientated but also able to see the big picture, relish responsibility, be able to cope with challenges and communicate well. Thus, you will need to be determined, tenacious and focused on solutions.

Key responsibilities include:

Grants management and compliance

  • Leading grant management administration for Asia Pacific grants across CDP China, Hong Kong and India offices;
  • Organising kick-off, monthly and quarterly meetings with project staff and funder account manager and ensure the grant contract clauses and all project-related requirements are complied with;
  • Regular communication with funder account manager in Global Development team to resolve problems and address grant management information requests;
  • Ensure accurate grant tracking and income reporting, in close cooperation with internal and external colleagues;
  • Developing a monthly grant management analysis for project teams and Global Development team to ensure appropriate risk management of grants;
  • Engaging with project leads across CDP offices to coordinate resourcing across these grants, with specific attention to co-funding requirements and implications for staffing;
  • Coordinating internal teams to complete project deliverables as per project schedule and within budget;
  • Ensuring all contractual obligations are adhered to, including all staff complete timesheets if required.

Grant reporting

  • Supporting programme teams to develop narrative and financial reports that are aligned with grant agreement requirements;
  • Building staff capacity and providing support to ensure grants are managed in compliance with donor requirements.

Asia Pacific regional development funding plan

  • Developing funding stream scoping plan with Global Development colleagues to understand Asia Pacific funding potential and lead research;
  • Supporting CDP China, Hong Kong and India to cost their regional strategies to guide funding priorities;
  • Collaborate to deliver development funding plan for 2025 strategy period, including resource needs.

You will have the following skills and experience:

Essential criteria:

  • Experience in grant management, coordination and reporting of philanthropic and government grants;
  • Experience or demonstrable understanding of donor contract and budget management, reporting and cost eligibility;
  • Experience identifying compliance issues and developing tools, processes or procedures to improve compliance;
  • Experience using resource management and planning skills to develop efficient systems and processes to support effective grant management;
  • Experience in fundraising team, preferable for international charity;
  • A strong team player, resourceful and committed to meeting deadlines under pressure;
  • Strong written and verbal communication skills in English;
  • Excellent attention to detail and strong administration and organisational skills with a methodical approach to working on several tasks simultaneously and meeting deadlines.

Desirable criteria

  • Excellent interpersonal and verbal communication skills, with the ability to engage and promote dialogue between a range of stakeholders.
  • Strong ICT skills is essential and proficiency with fundraising databases desirable.
  • Excellent attention to detail and strong administration and organisational skills with a methodical approach to working on several tasks simultaneously and meeting deadlines.
  • Highly accurate with strong attention to detail, and able to review a high volume of information quickly and accurately, taking responsibility for its quality.
  • A flexible but diligent working style, with the ability to work effectively in a small team and remotely with colleagues in CDP’s global offices.

This is an initial fixed 12-month contract, with the possibility to extend, based at CDP Hong Kong office reporting to Asia Pacific Regional Coordinator with matrix management by CDP’s Global Development Director.

Applicants must be eligible to work legally in Hong Kong

Salary and benefits: HKD461,711 – HKD491,768. As well as this we provide an annual discretionary bonus, 24 days holiday+ public holidays. Flexible working will be considered.
